Claims pile up when one person is out. Denials sit unworked. Prior authorizations eat your front desk's afternoon. This site explains how practices and billing companies solve those problems, including when a dedicated remote billing team makes sense and when it doesn't. When you want help, we route your request to a vetted, approved vendor.

Who this site helps

  • Solo and small practices where the office manager is also the biller, the scheduler and the person who calls payers.
  • Specialty groups such as behavioral health, physical therapy, chiropractic, labs and ambulatory surgery centers (ASCs), where payer rules and authorizations are specialty-specific.
  • Multi-location groups that need consistent billing processes across sites.
  • Practice and billing managers who need more hands on the A/R, denial or authorization queues without adding local headcount.
  • Medical billing companies that need to add trained staff as they win new clients.

Common billing problems we write about

  • Denials that never get reworked. In a vendor survey of billing professionals, 40% reported an increase in denials over the prior year (Tebra, 2025). Federal transparency data show HealthCare.gov insurers denied 20% of in-network claims in 2023 (KFF).
  • Aging A/R. Claims nobody has followed up on after 30, 60 or 90 days.
  • Prior authorization workload. Physicians surveyed by the AMA reported an average of 39 prior authorization requests per physician per week, taking about 13 hours of physician and staff time (AMA).
  • Eligibility surprises. Coverage changes discovered after the visit, not before.
  • Hiring and turnover. In the same vendor survey, 38% of billers said they struggle to find qualified candidates (Tebra, 2025).

The remote billing team model, explained

A remote billing team is not a software product and not a full billing takeover. It is dedicated people working your queues:

  • They work in your systems. Your practice management system, clearinghouse and payer portals, with access you grant and can revoke.
  • They follow your rules. Your fee schedules, your write-off policy, your escalation path.
  • They are dedicated. The same people every day, so they learn your payers and your providers.
  • You keep control. You own the process and the payer relationships. The staffing provider recruits, employs, trains and supports the staff.

Typical roles include billing specialists, A/R follow-up specialists, eligibility and benefits verification (VOB) staff, prior authorization coordinators, payment posters, denial follow-up specialists and admissions or intake support.

We think a staffing model fits some practices well and others not at all. Our cost guide compares in-house, outsourced and remote options side by side, and medical billing outsourcing: three models explains the trade-offs.

Approved vendors

We list only vendors that meet our published vetting criteria, such as signing a BAA before any PHI access and never claiming to be "HIPAA certified." Today that's one company:

Affiliated: operates this site

Alliance Global Solutions (operates this site) provides dedicated remote medical billing and revenue cycle staff. Its clients range from small outpatient centers to large billing companies that handle billing for multiple clients, and it handles a lot of their back-end work, including VOB for drug and alcohol treatment centers. It signs a business associate agreement with each client before any of its staff access protected health information. HIPAA comes first

If anyone outside your practice will touch patient data, HIPAA is the first question, not the last. Before remote or offshore billing staff log in to anything, you should expect:

  • A business associate agreement (BAA) with the agency, because a company that handles billing involving protected health information on your behalf is a business associate under HIPAA (HHS).
  • Minimum necessary, role-based access. Staff see only what their job requires.
  • Strong access controls: unique logins, multi-factor authentication, secure remote access (VPN or virtual desktop) and no local downloads or printing.
  • Documented training, risk analysis and a breach-reporting process.

One more thing to know: there is no official "HIPAA certification" for companies or staff. HHS's Office for Civil Rights states that it does not endorse, certify or recommend specific technology or products (HHS). Be cautious of anyone who claims to be "HIPAA certified."

How it works, in 3 steps

  1. Tell us about your workload. Use the short form above, or the longer form if you want to share more. No patient information.
  2. Free staffing assessment. A specialist reviews your setup with you and suggests which roles, if any, could help. If remote staff aren't a fit, we'll say so.
  3. Meet candidates and start. If you go ahead, you interview candidates, sign the agreements (including a BAA), set up access and onboard staff to your workflows.

Technology in medical billing

AI and automation now touch most of the revenue cycle: claim scrubbing, denial prediction, eligibility checks and electronic prior authorization, which CMS-0057-F requires impacted payers to support through APIs by January 1, 2027 (CMS). People still own the queues and review the output. Alliance Global Solutions helps clients set up AI assistant workflows alongside their dedicated staff. Short FAQ

What is a remote medical billing team?

It is one or more dedicated billing and revenue cycle staff who work remotely inside your systems, under your workflows, doing tasks such as eligibility checks, prior authorizations, claim follow-up, payment posting and denial work. You direct the work; a staffing provider handles recruiting, employment and supervision.

Should I outsource medical billing or keep it in-house?

It depends on volume, specialty and how much control you want. In-house staff give the most control but are the hardest to hire and cover. A full-service billing company takes over the function. Dedicated remote staff sit in between: you keep the process, and a provider handles hiring.

What are the main medical billing staffing models?

Three: an in-house team you employ, a full-service billing company that runs billing for you, and dedicated remote staff who work your queues in your systems while a staffing provider employs them. Many practices mix models, such as in-house billing plus remote verification or A/R help.

How much does medical billing staffing cost?

In-house cost is wages plus benefits and overhead; BLS reports a May 2025 median hourly wage of $23.32 for billing and posting clerks. Billing companies often charge a percentage of collections, while staffing providers usually charge per staff member. Our cost guide compares them.

Do remote or offshore billers need a business associate agreement?

Yes. A company whose staff handle protected health information for your billing is a business associate under HIPAA and needs a signed BAA before access. No company or person can be officially 'HIPAA certified,' so be wary of that claim.

How do you choose approved vendors?

We publish our criteria, including signing a BAA before any PHI access, dedicated staff working in your systems, US billing experience, references on request and no 'HIPAA certified' claims. This site is operated by Alliance Global Solutions, currently our only approved vendor.

How do I get started, and do you need patient information?

Use the short form on this page or the longer contact form. Practice-level details such as specialty and number of providers are enough. Never send patient information. Your request may be referred to Alliance Global Solutions, our affiliated approved vendor.
